Personal Data We Collect
Account and Authentication Data
When you create an account, we collect your name, email address, authentication provider information, and marketplace role selection (entertainer/venue operator).
Profile Information
Approved members provide venue or entertainer profile data including descriptions, locations, capacity, production resources, pricing, contact methods, portfolio items, and technical requirements.
Booking and Transaction Data
We record applications, direct requests, agreed terms, calendar availability, hold status, agreement generation metadata, signature events, deposit status records, and audit trails of booking lifecycle changes.
Public event RSVP and ticketing
When a confirmed booking has a published public event page, we may process RSVP name, email, and party size (gigiii as controller). For paid tickets, pretix GmbH processes attendee and payment data as a processor for the ticket seller; gigiii caches order metadata (not card numbers) for dashboards and software-fee invoicing. See Sub-processors.
Technical and Usage Data
We automatically collect IP addresses, browser type, device information, cookies, session data, and — only if you opt in to analytics cookies — usage analytics via Google Tag Manager (which may load Google Analytics 4 and Microsoft Clarity) and Vercel Analytics / Speed Insights. Clarity may record masked session replays to help us improve UX. We do not send advertising cookies.
Legal Basis for Processing
- Performance of Contract — Processing is necessary to provide the marketplace services you've requested.
- Legitimate Interests — We process data to prevent fraud, ensure platform security, and improve our services.
- Consent — For optional analytics and marketing cookies, we rely on your explicit consent.
- Legal Obligation — We process data to comply with legal requirements, including tax and financial record-keeping obligations.
How We Use Your Data
- Provide and maintain the gigiii marketplace platform
- Manage accounts, approval states, and role-based access control
- Facilitate bookings, calendar coordination, and contact unlocking
- Prevent fraud, abuse, and security incidents
- Comply with legal obligations and respond to lawful requests
- Improve platform features and user experience
- Communicate service updates, booking notifications, operational messages, and one-time onboarding emails (for example a founder welcome after signup). You can opt out of individual email types in Account notification preferences or via one-click unsubscribe links where provided. Marketing tips and newsletters require separate consent.
Data Sharing and Disclosure
We do not sell personal data. We share data only in these limited circumstances:
- Approved Members — Role-segregated discovery surfaces share approved profile data with other approved members. Contact details are revealed only after shortlist or accepted direct request.
- Service Providers — We engage sub-processors to provide hosting, database, authentication, file storage, and operational services under data processing agreements.
- Legal Requirements — We may disclose data to comply with legal obligations, enforce our terms, or protect rights and safety.

International Data Transfers
gigiii operates with infrastructure providers based in the United States and Europe. Data transfers outside the European Economic Area (EEA) are protected by Standard Contractual Clauses (SCCs), adequacy decisions, or equivalent safeguards as required by GDPR Article 46.
Data Retention
We retain personal data for as long as necessary to provide services, comply with legal obligations, resolve disputes, and enforce agreements. Approved profiles and booking records are retained for operational and legal record-keeping purposes. Upon account closure, we will delete or anonymize data in accordance with applicable retention schedules and legal requirements. If you create an account but do not complete onboarding (including accepting the Terms of Service and Privacy Policy) within 7 days, we anonymize that incomplete account so personal data from abandoned signups is not retained indefinitely.

- Right to Erasure — Request deletion of your personal data under certain circumstances.

Security Measures
We implement appropriate technical and organizational measures including encryption in transit (TLS), encrypted storage, access controls, security monitoring, regular security assessments, and incident response procedures. However, no system is completely secure, and we cannot guarantee absolute security.
Cookies and Tracking
We use strictly necessary cookies for authentication and security. Optional analytics (Google Tag Manager, Google Analytics 4, Microsoft Clarity, Vercel Analytics / Speed Insights) run only with your consent under Google Consent Mode. You can withdraw consent via cookie preferences. Details: Cookie Policy.
